Abstract

The quotation process is where customer needs and requirements are analysed and transformed into product configurations and specifications. The quotation process is the front end business interface where customers, salespeople and engineers interact in order to locate the most suitable product configuration, and it has a crucially important role in the sales-delivery process. A rapid quotation process represents a competitive advantage for a manufacturing company. Companies compete on product quality, service offering and the speed of the response to the customer. The importance of correct specifications is highlighted when errors are noticed in the later stages of the delivery process. Simultaneously, the cost of correcting errors increases dramatically the further into the delivery process they are noticed. The purpose of this study is to identify the problem areas in the quotation support process in terms of product configurations and specifications, as there are the major causes behind rework and they increase the lead time the most. The goal of this study is to identify a more efficient process that enables the establishment of product specifications and configurations, without needing to verify unclear or missing requirements that are essential for the outcome of the process. By studying the specification process and the variables in the product configuration system it is possible to derive conclusions about the characteristics, behaviour and importance of the variables in the product configuration system, as well as in the performance of the quotation process. The main research method applied to the case study is systems engineering. The specification process is analysed using a system dynamics model and design structure matrices. With the help of the matrices it is possible to study the influences and dependencies of the variables in the product configuration system. Raising the power of the matrices offers the possibility to study both direct relationships and indirect relationships between variables. Using design structure matrices supported by statistical data, it is possible to derive conclusions about which variables impose the highest risk and which are most important with respect to the quotation process. This study shows which areas of the quotation process require improvement in order for the process to be more efficient. Based on the case study we can conclude that in order to eliminate rework and errors in the process, it is important that all relevant influencing variables are clearly specified in quotation requests.

Tarjousprosessissa käydään läpi asiakkaan tarpeet ja vaatimukset, ja niiden perusteella määritellään tuotespesifikaatiot ja tuotekonfiguraatio. Tarjousprosessi on kaupankäynnin rajapinta, missä asiakkaat, myyntimiehet ja insinöörit toimivat vuorovaikutuksessa löytääkseen parhaan tuoteratkaisun. Tarjousprosessi on tärkeä osa myynti- ja toimitusprosessia. Nopea tarjousprosessi on teollisuusyritykselle kilpailuetu. Yritykset kilpailevat tuotteiden laadulla, palvelutarjonnalla ja tarjouspyyntöjen vastausajalla. Tuotespesifikaatioiden oikeellisuuden tärkeys korostuu, mikäli virheet löytyvät vasta, kun toimitusprosessi on jo pitkällä. Myös virheiden korjauskustannukset kasvavat huomattavasti sen mukaan, mitä myöhemmässä vaiheessa toimitusprosessia virheet löytyvät. Tutkimuksen tarkoitus on tunnistaa ne tarjoustoiminnan tukiprosessin tuotekonfiguraatiota ja tuotemäärittelyä koskevat alueet, jotka aiheuttavat tarjousten uudelleenkäsittelyä ja kasvattavat huomattavasti tarjousprosessin läpimenoaikoja. Puuttuvat tai epäselvät tuotevaatimukset lisäävät merkittävästi uudelleenkäsittelyä ja kasvattavat mahdollisten virheiden lukumäärää tilaus-toimitusketjussa. Tutkimuksen tavoite on mahdollistaa tehokkaampi tarjousprosessi, joka ei vaadi tuotespesifikaatioiden uudelleenkäsittelyä tai asiakastarpeiden ja -vaatimusten vahvistamista. Määrittelyprosessia sekä konfigurointijärjestelmän muuttujia tutkimalla on mahdollista tehdä johtopäätöksiä muuttujien ominaisuuksista, niiden käyttäytymisestä sekä eri muuttujien tärkeydestä määrittely- ja tarjousprosessissa. Tutkielman päätutkimusmenetelmä on systeemisuunnittelu. Määrittelyprosessin analysoiminen tapahtuu systeemidynamiikkamallien ja suunnittelurakennematriisien avulla. Matriisien avulla on mahdollista tutkia muuttujien vaikutusta ja riippuvuutta toisistaan sekä suhteessa koko tuotekonfigurointijärjestelmään. Kun matriisi kerrotaan itsensä kanssa, on mahdollista tutkia muuttujien epäsuoria vaikutuksia toisiinsa. Suunnittelurakennematriisista ja tilastollisesta tiedosta on mahdollista vetää johtopäätöksiä muuttujista, esim. mitkä muuttujat ovat riskialteimpia sekä mitkä tärkeimpiä määrittely- ja tarjousprosessin kannalta. Tutkimuksen perusteella on mahdollista osoittaa, mitkä alueet tarjousprosessissa vaativat parannusta, jotta tarjousprosessista saadaan tehokkaampi. Tehokkaamman tarjoustoiminnan tukiprosessin aikaansaamiseksi on erittäin tärkeää, että kaikki asiakkaan tarpeita ja vaatimuksia koskeva oleellinen tieto on sisällytetty tarjouskyselyyn.
