Abstract

The development of computers and software has had a great impact on how business is done. In the 2lst century the question is no longer whether information technology should be used to improve the efficiency and competitive edge of companies but rather which processes should be automated and how? The decision to automate something should have a clear purpose. Justifying the decision is also much easier ii the motivation behind it is understood. In practice, business processes are rarely 100% automated, and in order to get the most out of an information or automation system, it is important to also think about the people in the process. The primary objective of this thesis was to reduce the workload caused by the monthly routines of hour reporting, billing and salary calculations for users of an existing system. The secondary objective was to increase knowledge of business process modelling and automation. Business Process Modelling is a tool that can be used to build an understanding of the business, communicating the information and as a starting point for automation. Concrete benefits of the thesis have been earning the basics of how to write effective use cases and realising how well they can be applied to both business process modelling and system specification. To reach the primary objective of this thesis a control view was designed to allow the users of the system to do their jobs more efficiently. The initial approach was to automate as much as possible, but it turned out that by slightly reducing the level of automation the problem was much easier to solve.

Tietokoneiden ja ohjelmistojen kehityksellä on ollut valtava vaikutus liike-elämän toimintoihin. 2000-luvulla kysymys ei ole enää siitä pitäisikö informaatioteknologiaa käyttää liiketoimintaprosessien tehostamiseksi, vaan enneminkin se, että mitä prosesseja pitäisi automatisoida ja miten? Automatisointipäätöksillä tulee olla selkeä tarkoitus. Päätöksen taloudellinen perustelu on myös paljon helpompaa, mikäli syyt päätöksen taustalla ovat tiedossa. Käytännössä liiketoimintaprosessit ovat hyvin harvoin täysin automatisoituja, minkä vuoksi on tärkeää ottaa huomioon myös prosessissa olevat ihmiset järjestelmää suunnitellessa. Tämän työn päätavoite oli pienentää kuukausittaisten tuntikirjanpito-, laskutus- ja palkanmaksurutiinien aiheuttamaa työkuormaa erään järjestelmän käyttäjille. Tavoitteena oli myös samalla oppia lisää liiketoimintaprosessien mallintamisesta ja automatisoinnista. Liiketoimintaprosessien mallintaminen on työväline. jolla voidaan kasvattaa ymmärrystä liiketoiminnasta. kommunikoida tietoa eteenpäin, ja jota voidaan käyttää lähtökohtana automatisoinnille. Käyttötapausten tehokkaan soveltamisen perusteiden oppiminen niin liikatoimintaprosessien mallintamiseen kuin myös järjestelmätason määrittelyyn oli yksi tämän työn konkreettisista hyödyistä. Päätavoitteen saavuttamiseksi järjestelmään suunniteltiin valvomonäkymä, jolla mahdollistetaan käyttäjien tehokkaampi työskentely. Alkuperäinen lähestymistapa oli automatisoida prosessia mahdollisimman paljon, mutta automaatiotason kevyt alentaminen osoittautui tavaksi yksinkertaistaa ongelmaa huomattavasti.
