Abstract

Facilities are among the biggest expense producers in corporations. Computer aided facility management systems (CAFM) allow corporations manage their premises more efficiently. Manufacturing corporations have large amounts of manufacturing facilities that are large in both square meter and cubic meter. They consume a large amount of utilities due to the processes inside and due to the large size of the building. This thesis aims to concentrate on how a computer aided facility management system can help a manufacturing company in managing its real estate property. The main research topic is how to get the advantage of a CAFM in a manufacturing company. We have divided the research topic to three following questions: How is a CAFM system evaluated and implemented? When and how does CAFM improve cost accounting and cost allocation? What kind of cost savings could be done based on CAFM? Qualitative research methods were used. Eleven in-depth theme interviews were carried out during spring and early autumn 2012. Altogether representatives of five different companies were interviewed. Triangulation, a combination of different methods, was used to analyse the data. Grounded method among others was used. Computer aided facility management systems can help corporations in cost allocation and cost control. However, manufacturing space cannot have the accounting assumptions as e.g. office space has. Activity based cost accounting method and time discrete function of CAFM can be can a good combination when allocating the costs to the end users. Many large industrial companies do not use CAFM but are interested in using it. Different CAFM programs have differences in their tools and methodology. Important decisions are made during the evaluation period. Implementation period is important and time consuming. Space categories used and their weight factors of various cost types determine the cost of a square meter. Cost accounting and cost allocation can be more efficient once CAFM is in use. Real estate departments are not usually in charge of machinery of the industry but inputting the fixed assets in layouts could help the accounting department and space planners. Key performance indicators help in comparing factory buildings to each other. In addition, the factory space-planning department benefits of CAFM. Because of CAFM, general spaces can be reduced and space can be used more efficiently. Cost savings may arise from quality checks on service providers and on real estate taxes.

Kiinteistötoimintaan liittyvät kulut ovat suurimpia kustannusten aiheuttajia yrityksissä. Tilahallintajärjestelmät (Computer Aided Facility Management, CAFM) auttavat yrityksiä hallitsemaan tilansa tehokkaammin. Teollisuusyrityksillä on tuotantokiinteistöjä, jotka ovat yleensä kooltaan suuria sekä neliömetrien että kuutiometrien puolesta. Tuotantokiinteistöt kuluttavat runsaasti hyödykkeitä - sähköä, vettä, lämmitystä - sekä prosessien vuoksi, joita tilassa tehdään, että niiden suuren tilan vuoksi. Tämän diplomityön keskiössä on, kuinka tilahallintajärjestelmä voi auttaa teollisuusyritystä kiinteistöjen hallinnassa. Olemme jakaneet tutkimusaiheen seuraaviin kolmeen kysymykseen: Kuinka tilahallintajärjestelmät arvioidaan ja otetaan käyttöön? Kuinka tilahallintajärjestelmät voivat auttaa kustannusten säästössä ja allokoinnissa? Millaisia säästöjä voidaan saada aikaiseksi CAFM:in avulla? Tutkimus tehtiin kvalitatiivisena tutkimuksena. Yksitoista syvähaastattelua tehtiin teemahaastatteluiden muodossa keväällä ja alkusyksystä 2012. Yhteensä viiden eri yrityksen edustajaa haastateltiin. Triangulaatiota, eri menetelmien yhdistelmistä, käytettiin tiedon analysointiin. Ankkuroitua teoriaa käytettiin muiden muassa. Tilahallintajärjestelmät tehostavat ja parantavat kustannushallintaa ja kustannusten allokointia. Tuotantotilalla ei kuitenkaan voi olla samanlaisia laskentaperusteita kuin esim. toimistotilalla. Toimintopohjaista kustannusten hallintaa ja tilahallintajärjestelmän ajallisesti yksilöivää toimintoa voidaan hyödyntää, kun kustannuksia allokoidaan loppukäyttäjille. Monilla suurilla teollisuusyrityksillä ei ole tilahallintajärjestelmää käytössä, mutta he ovat kiinnostuneita sen käyttöönotosta. Eri kiinteistötietojärjestelmillä on eri työkaluja tarjolla ja järjestelmillä on erilainen toimintalogiikka. Tärkeitä päätöksiä tehdään ohjelmaa valittaessa. Järjestelmillä on eroja niiden käytössä ja logiikassa. Käyttöönottovaihe on tärkeä ja aikaa vievä. Tilaluokat ja niiden kertoimet eri kustannustyypeille määrittelevät neliöhinnan. Kiinteistöosastot eivät vastaa tehtaan koneista, mutta käyttöomaisuushyödykkeiden asettaminen pohjakuviin saattaa hyödyttää laskentaosastoa ja tehtaiden suunnittelijoita. Tarpeettomia tiloja voidaan vähentää. Tilaa saadaan tehokkaammin käyttöön, koska tilankäytöstä voi tehdä mittareita ja kiinteistöjen keskinäinen vertailtavuus paranee. Kiinteistöjärjestelmällä voidaan tuottaa säästöjä tarkkailemalla toimittajien laatutasoa ja tarkistamalla kiinteistöverotietojen paikkansa pitävyys.
