Improving project management system in R&D with human-centered design

Abstract

Project management software aims to minimize the effort of planning and monitoring projects but these management systems can be difficult to master. In research on project management systems, the user's point of view is often neglected and the focus is on organizational success factors. This study aims to understand project managers, their needs and usage of a project management system in a research and development (R&D) organization by applying human-centered design methods. The case company has developed its R&D organization over the recent years and has implemented new processes and systems, including a project management system. However, the purpose of the system is slightly unclear to its main users, the project managers, and they are not fully satisfied with the system. Therefore, the organization wanted to develop the system to become more user-centric. The objective of this study is to provide improvement suggestions of how the system could become more useful for the project managers. Three user research methods; contextual interview, questionnaires, and idea workshops, were used to understand the users' context of use, opinions, and usage habits. This study also tried to evaluate how suitable the principles and process of human-centered design are for finding improvements for a project management system. As a result from this study, a good overview of the project managers' work in the case organization is presented together with suggestions for improving the project management system. Some recommendations are on organizational level and relate more to the ways of working. This study demonstrated that human entered methods can be applied in capturing work practices and improving a project to match users' needs.

Projektienhallintaohjelmiston avulla pyritään minimoimaan projektien suunnittelusta ja valvonnasta aiheutuva vaiva. Näiden hallintajärjestelmien käyttö voi kuitenkin olla hankalaa ja vaativaa. Projektienhallintajärjestelmien tutkimuksessa on lähinnä keskitytty organisaatiotason menestystekijöihin, eikä käyttäjien näkökulmaa ole juurikaan tutkittu. Työssä pyritään ymmärtämään projektipäälliköitä, heidän tarpeitaan ja projektienhallintajärjestelmän käyttöään tuotekehitysorganisaatiossa käyttäjäkeskeisen suunnittelun avulla. Kohdeyritys on kehittänyt tuotekehitysorganisaatiotaan ja ottanut käyttöön uusia prosesseja ja järjestelmiä, mukaan lukien projektienhallintajärjestelmän. Järjestelmän tarkoitus ei kuitenkaan ole aivan selkeä projektipäälliköille, jotka kokevat, ettei järjestelmä tue heidän työtään riittävästi. Tutkimuksen tavoitteena on löytää kehitysehdotuksia järjestelmän hyödyllisyyden parantamiseksi. Samalla pyritään myös ymmärtämään, kuinka käyttäjäkeskeisen suunnittelun prosessit ja menetelmät sopivat projektienhallintajärjestelmän parantamiseen. Käyttäjätutkimuksessa käytettiin kolmea menetelmää: kontekstihaastattelua, kyselyä ja ideatyöpajaa. Niiden avulla pyrittiin ymmärtämään käyttäjien käyttöympäristöä, mielipiteitä ja käyttötapoja. Tutkimuksen tuloksena luotiin hyvä ymmärrys projektipäälliköiden työstä kohdeorganisaatiossa ja löydettiin kehitysehdotuksia projektienhallintajärjestelmän parantamiseksi. Osa suosituksista on organisaatiotasoisia ja liittyvät työtapoihin. Tässä tutkimuksessa todetaan, että käyttäjäkeskeisen suunnittelun menetelmät sopivat työnkuvan kartoittamiseen ja niiden avulla voidaan löytää kehitysehdotuksia, joilla projektienhallintajärjestelmä saadaan paremmin vastaamaan tarpeita.
