Procurement models within Robotic Process Automation and their effects on business outcomes for the customer and supplier

Abstract

This thesis examined how procurement models for Robotic Process Automation (RPA) services affects the business outcomes of both customers and suppliers. The research was carried out as a qualitative case study, exploring one supplier organization and four customer organizations, and their collaboration models as the RPA programs matured.

The main findings of this thesis were that the procurement model tends to shift during the collaboration period, as the customer’s maturity around the technology increases. Customers tend to procure well-defined projects initially, to manage the risks associated with the unfamiliar technology and lack of automation candidates in the process backlog. As the programs mature, procurement of allocated resources that are integrated into the customer’s delivery organization becomes more attractive, as customers want to secure specific competency and as they have a increasing backlog of processes to automate. In general, the customer’s general budgeting model and overall preferences on procurement models impact their decisions on procuring projects versus allocated resources.

The thesis provides recommendations for both customers and suppliers through-out the collaboration period. Suppliers should aim at providing a mix of allocated resources and well-defined projects, to ensure financial forecastability and delivery efficiency through the former, and access to new business areas and complementary technologies from the latter. Customers should carefully plan the balance between procured and inhouse resourcing in their RPA programs, and ensure that supplier resources are well-integrated, for example by utilizing an agile delivery model.

Det här diplomarbetet undersökte hur anskaffningsmodeller inom Robotic Process Automation (RPA) påverkar affärsresultaten för både kunder och leverantörer. Forskningen genomfördes som en kvalitativ fallstudie, som undersökte en leverantörsorganisation och fyra kundorganisationer, samt deras samarbetsmodeller under respektive RPA program.

Fynden i studien visade att anskaffningsmodellen tenderar att skifta under sam-arbetsperioden i takt med att kundens mognad kring teknologin ökar. Inlednings-vis tenderar kunder att anskaffa väldefinierade projekt, för att hantera risker relaterade till okunskapen kring teknologin och brister på identifierade automations-kandidater. I takt med att mognaden i programmen växer, blir det mer attraktivt att anskaffa allokerade resurser som integreras i kundens leveransorganisation, för att säkerställa specifik kompetens och för att hantera den växande mängden av automationskandidater. Generellt sätt har kundens övergripande budgetmodell och preferenser kring anskaffningsmodeller en inverkan på huruvida de väljer att köpa projekt eller allokerade resurser.

Diplomarbetet ger rekommendationer till både kunder och leverantörer under samarbetsperioden. Leverantörer bör ha som målsättning att leverera en blandning av allokerade resurser och väldefinierade projekt, för att säkerställa ekonomisk förutsägbarhet och effektivitet från den förstnämnda, samt tillgång till nya affärsområden och komplementteknologier genom den senare. Kunder bör i sin tur noggrant planera balansen mellan inköpta och interna resurser i sina RPA program, samt säkerställa att inköpta resurser är välintegrerade i organisationen, t.ex. genom att utnyttja en agil leveransmodell.
